Renovation Church is looking for a Project Manager & Ministry Assistant who is passionate about using their administrative and project management skills to serve a fast-paced, growing church. In this hybrid role, you’ll help keep the day-to-day ministry operations running smoothly—from supporting pastoral leadership and managing office logistics to coordinating creative projects and Sunday production needs. Position Overview

The Project Manager & Ministry Assistant plays a critical role in creating systems that support life transformation. This person brings clarity to complexity, joy to the details, and excellence to every assignment. This dual-role position serves both as an administrative backbone for our pastors and ministries and as a project coordinator for creative and production needs across our church. Key Responsibilities
Office & Administrative Support
- Open and prepare office daily for staff and guests
- Serve as the first point of contact for guests, phone calls, and general inquiries
- Maintain inventory of office and kitchen supplies, concessions, and event materials
- Handle mailings, packages, gift cards, postage, and office contracts
- Greet guests, answer phone calls, and provide a warm front-office presence
- Support data entry and updates in CCB and Basecamp (people, queues, contacts)
Pastoral & Ministry Support - Assist Pastors with calendar, meetings, emails, notes, and reminders
- Support church-wide initiatives like KPM reporting, thank-you cards, and Board
meeting prep - Manage logistics for staff events, family nights, and special projects
- Assist additional ministries during heavy traffic seasons
Project & Creative Management
- Collaborate with creative team to track project timelines and ensure follow-through
- Track creative tasks in ClickUp; follow up with creatives to meet deadlines
- Assist with proofing, ordering, and distributing materials for events and series
- Help bridge communication between departments to keep everyone aligned and
informed - Proof graphics, request files, place print orders, and liaise between teams
- Take notes in creative meetings and upload assets to shared platforms (Dropbox, Slack)
Production & Digital Coordination
- Prepare and organize weekly Sunday service playlists (in-person and online
- Upload sermon notes and digital content across platforms
- Maintain ProPresenter storage and archive old production files
- Support occasional content curation for events (Marriage, Men’s Breakfast, etc.)
Ideal Candidate
- Loves Jesus, the local church, and serving behind the scenes
- Strong administrative and organizational skills with attention to detail
- Creates welcoming environments effortlessly
- Proficient in platforms like ClickUp, Dropbox, Google Suite, CCB, and Zoom (or willing
to learn) - Comfortable managing multiple moving parts and meeting deadlines
- Flexible and able to adapt to the evolving needs of a growing church
- A team player who communicates clearly and follows through consistently
- Prior experience in church administration, production, or project coordination is a plus
